The application

The challenge

The situation is well known in every service organization: an account manager
receives a customer request for a copy of a document. The request is then forwarded by phone to a clerk who goes to the archives to find the document. The clerk copies it and  passes it on to the account manager who then posts it back to the customer. Well, this doesn't happen at Johnston Sweepers – not since the  implementation of MultiArchive.

The solution

“We were primarily after a system to store documents electronically – that could bind documents together by category and easily retrieve those  documents from a screen that is familiar to the end user. The bulk of our data
is held on our IBM iSeries server, however, we wanted a system that was not restricted to just iSeries documents and we found that MultiArchive satisfied all of these areas,” explains Stuart Cox, IT Manager for Johnston Sweepers – founded in 1904 and today the world’s largest manufacturer of sweepers. With MultiArchive, the above described  scenario is now handled entirely electronically directly from the account manager’s own screen. 

Customer service, however, is not the only area that has gained considerable time savings. Ever since the loading of MultiArchive, Johnston Sweepers immediately started filing invoices and credits directly from the iSeries. All relevant users have access to all of the filed information directly through their
familiar iSeries screen.

The benefits

“Since installation, we have just left it to run with no administration required,” points out Stuart Cox. “We have only just touched on the full capability of the product and we are expecting to expand the use to file other documents
in the company. In conclusion, the solution is seamless from a user’s view, simple from a system administrator’s view, and professional from the customer’s view.”
