The Company

The Aarsleff Group is an international construction company based in Denmark. The company was founded in 1947 and as been growing ever since. The original workforce of 14 men has now, half a century later, grown to approximately 2,400 employees in the parent company, the subsidiaries, and the associated companies.

All in all, a group enjoying professional respect both in Denmark and abroad. The annual turnover, which peaked at DKK 40,000 the first year, reached almost DKK 3.5 billion 50 years later.

The application

The challenge

Per Aarsleff has more than 2,000 employees. Being in the construction business, this means a number of challenges:

  • Many different groups of employees
  • Weekly, twice a month, and monthly payroll handling
  • Collection of work specifications from all employees on all building sites
  • Employee handling: certificates, courses etc.
  • Etc.

On top of this, is the job of managing the proper documentation for unions and the authorities.

The Solution

When Per Aarsleff began working with MultiArchive, they quickly decided to build an HR archive.

The payrolls are generated by the ASPECT4 solution, but all the documents from this process are kept in the employee folder in MultiArchive. Therefore, it is no problem for the HR Department to get a quick overview of all relevant documents on the employees.

All work data from each employee at the various construction sites are scanned and processed into MultiArchive. This is done with OCR technology that is able to extract the data from the documents.

Benefits

The obvious benefits for Per Aarsleff is that the huge number of employee documents are now electronically available. Before this electronic entry method, manually handling this process required a significant amount of storage space and manual labor.

As an example Susanne explains: "Sometimes we are asked by the authorities to send the documentation of specific payroll data on a former employee. Before we implemented MultiArchive, we had to find all the documents in our paper archive in the cellar. It could take up to one hour to find all the relevant documents. Now we are able to send all the documents right away. If we get the request on the phone, we are able to send all relevant documents while talking to the person - directly from MultiArchive by e-mail or fax. Quite often that generates some surprise in the other end of the line."
